Homeschool Hub AI ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application.

We comply with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the EU General Data Protection Regulation (EU GDPR) for users in the European Economic Area.

Please read this privacy policy carefully. If you do not agree with its terms, please do not use the application.

Information We Collect

Information You Provide to Us

• Account Information: Your email address and display name when you create an account
• Child Profiles: Names, ages, interests, and educational notes you enter about your children
• Educational Data: Schedules, lesson plans, curriculum progress, learning ideas, and progress entries
• Reading Log Data: Book titles, authors, page counts, ratings, notes, and cover images
• Financial Records: Budget and expense information you choose to track
• Photos and Media: Images you upload for progress entries, curriculum materials, lesson evidence, or book covers
• Reminder Settings: Your notification preferences and scheduling choices
• AI Conversations: Messages you send to the AI assistant and prompts you use to generate lesson plans or activity images

Information Collected Automatically

• Device Information: Device type, operating system, and unique device identifiers
• Usage Data: How you interact with the app, features used, and time spent
• Calendar Data: When you grant permission, we access your device calendar to sync schedules (read and write)

Information from Third Parties

• Apple Sign In: Your Apple ID email and name (if provided)
• Google Sign In: Your Google account email and name
• Open Library API: Book information fetched when you scan barcodes or enter ISBNs

How Your Data is Stored

• Local storage (default): Your data is stored on your device and works fully offline. It leaves your device only if you sign in and enable cloud features.
• Cloud storage (optional, Premium): With Cloud Sync enabled, data is stored securely in Google Firebase/Firestore servers located in the European Union, encrypted in transit (TLS/SSL) and at rest.
• iCloud backup: Your local app data may be included in your iOS device's iCloud backup.

How We Use Your Information

• Provide, maintain, and improve the app
• Sync your data across devices via cloud storage
• Enable co-parenting features to share data with accounts you invite
• Generate AI-powered lesson suggestions, teaching assistance, and activity illustrations
• Process subscription payments through the Apple App Store and Google Play Store
• Fetch book information when you use the barcode scanner or ISBN lookup
• Respond to your enquiries and provide customer support
• Comply with legal obligations

Co-Parenting and Data Sharing

• You can invite another user to share your homeschool data
• Shared data includes: child profiles, schedules, progress entries, ideas, curriculum progress, reading logs, reminders, and financial records
• You control permissions (Full Access or Read Only) for each co-parent, and can choose which children to share
• Co-parents can be removed at any time, which revokes their access

AI Features

• When you use AI features (the Hubble assistant, lesson-plan generation, and activity illustrations), your prompts and a non-identifying educational context are sent to our AI provider (Google Gemini) via our own secure server to generate personalised responses
• We never send personally identifying information about your child to the AI provider. Your child's name, date of birth, exact age and photos are never sent — only non-identifying signals: a coarse age band (e.g. 6–8), the learning styles and educational approaches you choose, and interests with any names automatically removed
• Free text you enter (interests, learning notes) is automatically scrubbed of your child's name and family references on your device before any AI request is made
• Activity illustrations are produced behind child-safety guardrails in a fixed, wholesome house style, and your child's name is never rendered into an image
• All AI requests pass through education-only and child-safety filters on our servers, and monthly usage limits apply
• We do not use your data to train AI models, and our provider does not retain your conversations after processing
• AI-generated illustrations and materials contain no personal information about your child and are created and retained by HelixGate — we keep a copy in our library for backup and reuse whether or not you share it. Your generations are not shown to other families unless you opt in; the community gallery is anonymous, with only the image and a generalised caption, never your child's name or the original prompt

Information Sharing

We do NOT sell your personal information. We share information only:

• With your consent: Co-parenting shares data with users you explicitly invite
• Community gallery (opt-in): if you choose to share an illustration, it is shared anonymously with a generalised caption — never your name, your child's name, or the original prompt
• Service providers: Firebase (Google) for authentication, database, and storage
• AI services: Google Gemini, as described above (non-identifying data only)
• Book lookup: ISBN numbers sent to the Open Library API — no personal data is shared
• Legal requirements: If required by law or to protect our rights

International Data Transfers

Some of our third-party service providers may process data outside the UK and EEA. Where this occurs, we ensure appropriate safeguards are in place, including Standard Contractual Clauses (SCCs), the UK International Data Transfer Agreement (IDTA), and adequacy decisions where applicable.

Children's Privacy

While this app is designed for homeschooling families, it is intended for use by parents and guardians, not children directly. We do not knowingly collect personal information from children under 13 (or 16 in the UK/EU). Child profile information is entered and managed by parent users.

If you believe we have inadvertently collected information from a child, please contact us immediately and we will delete it.

Your Rights Under UK GDPR and EU GDPR

• Right of Access — request a copy of the personal data we hold about you
• Right to Rectification — request correction of inaccurate or incomplete data
• Right to Erasure — request deletion of your personal data ("right to be forgotten")
• Right to Restrict Processing — request that we limit how we use your data
• Right to Data Portability — receive your data in a structured, commonly used format
• Right to Object — object to processing based on legitimate interests
• Right to Withdraw Consent — withdraw consent at any time where processing is based on consent

Data Retention and Deletion

• We retain your data for as long as your account is active
• You can delete your account and its data directly in the app (Settings → About → Delete Account); cloud data is deleted within 30 days
• Shared family data remains accessible to other family members unless they also request deletion
• AI-generated activity illustrations in the shared image library may be retained after account deletion, as they contain no account information
• Some data may be retained where required by law

Early-access list (website)

If you join the early-access list on this website, we store the email address you give us for one purpose: to let you know when the app is available and share occasional launch updates. We don't sell or share it, and you can ask us to remove you at any time at info@homeschoolhubai.com. We stop emailing you the moment you ask.

Cookies and Tracking

The app does not use cookies and does not track you across other apps or websites.

Changes to This Privacy Policy

We may update this privacy policy from time to time. We will update the "Last Updated" date above, notify you in-app, and email you if changes are significant.
